Add and edit contacts
Add and Edit Contacts
Before you begin
Before adding your first contact, ensure you have created at least one contact group. When the program is newly installed, the database may be empty. During initial setup, you can select from default groups such as Personal, Friends, or Business.
Create a New Contact Record
To create a new contact:
- Select a contact group.
- Click the New Contact button in the toolbar, or
- Right-click the table and select New Contact from the context menu.
The Contact Editor will open:
- Enter the contact details.
- Click OK or press Enter to save the changes.
To add another contact without leaving the editor, click Add New Contact at the bottom. This action saves the current entry and immediately opens a new, blank contact card.
Edit an Existing Contact
To edit a contact:
- Click button in the toolbar, or
- Double-click the contact in the table, or
- Right-click and select Edit Contact from the menu, or
- Press Enter on the selected contact.
The Contact Editor page will open:
- Edit the contact details.
- Click OK or press Enter to save the changes.
The Copy to a New Contact link helps streamline data entry when creating records for family members or employees of the same company. Shared details such as addresses, phone numbers, and emails will be copied automatically. You only need to enter the new contact’s name and update or remove any irrelevant information.
Tip
Data is copied from the Personal or Business page based on the contact’s group type. If a contact belongs to a business group, data from the Business page will be copied. For non-business contacts, data from the Personal page will be used.

Notes
Page Notes page is used for editing notes as plain text. The Notes area has right-click context menu with Cut/Copy/Paste/Delete/Select All/Undo/Redo options, and supports standard editing shortcut keys:
- Ctrl + C = Copy
- Ctrl + V = Paste
- Ctrl + X = Cut
- Del = Delete
- Ctrl + A = Select All
- Ctrl + Z = Undo
- Ctrl + Y = Redo

The Notes area can be switched from editing mode to read-only mode, where any links in the text will be highlighted and become clickable. The button to toggle between the two modes is located in the upper right corner of the Notes area.
The lower right corner contains the Print button, which allows you to print notes in PDF format.
Reminders
The Reminders page is used to setup advance reminders for birthdays and other events. See Popup reminders for more details.

Adding a Note
The Add Note button at the bottom of the Contact Details pane opens a text editing area, allowing you to create a new note which will be appended to existing text.

A Date/Time stamp can be automatically added when appending a note.
You can customize the Date/Time stamp format and its position within the text. See Notes Date/Time Stamp Format page in the Preferences for details.
Auto-Formatting Phone Numbers
The program includes an auto-formatting feature for local and international phone numbers, simplifying data entry. With this option enabled, you only need to enter the digits — there is no need to include symbols like (+), spaces, dashes, or parentheses.
Phone numbers are automatically formatted once you enter the full number, including the area code, and the number of digits matches a predefined format (local or international). Any punctuation will be removed when the number is stored in the database.
Example Formatting
- If the local format is set to (000) 000-0000, entering number 1234567890, will be display as (123) 456-7890.
- If international formatting is enabled with a preset +000 00 000-00-00, entering 123456789012 will display as +123 45 678-90-12.
You can customize the default local format (000) 000-0000 to match your country's phone number structure. See Phone Auto-Formatting page in the Preferences for details.
Additional Notes
- The + symbol is not required for local phone numbers and cannot be used in the local format structure.
- If a phone number does not match either local or international format, you can manually enter +, spaces, dashes, or parentheses as needed.
- Auto-formatting can be turned Off if your country has irregular number formats.
See Phone Auto-Formatting in the Preferences for details.
Editing Restrictions
When editing contact records, the following restrictions apply:
- Both First Name and Last Name cannot be blank; at least one must be entered.
- Duplicate contacts are not allowed - each record must have a unique combination of First and Last Name.
Tip
First / Previous / Next / Last navigation buttons allow you to edit or review the details of multiple contacts without leaving the Contact Editor page.
