Print mail envelopes and address labels

Before printing mail envelopes or address labels, you must complete some basic setup is required: open Preferences > Print Settings.

Common Print Settings

These settings apply to both mail envelopes and address labels:

  • Include Title: If a contact title is available (Mr., Ms., etc.), it will be added before the name on the first address line.
  • Include Department: Includes the department name for business addresses (when both a company name and department are present).

Tip

Uncheck this option if label size is limited and you need to fit the full address.

  • Metric Units: Toggles the display of paper size between millimeters and inches.

Envelope and Label Printer Settings

These sections allow you to configure hardware settings:

  • Select a printer from the drop-down list of available printers.
  • Select paper size, orientation, and (optionally) paper source.

For mail envelope printing, you can also set:

  • Print Return Address: Uncheck this option if you use pre-printed return address labels or envelopes.
  • Country for Return Address: This is required for the program to use the correct International address template when the recipient's country is different from your return address country.

Printer Tips

  • Ensure the correct printer driver is installed and the printer is powered on. Your printer will use the paper source based on your configuration — refer to the printer manual for specific details.
  • For the best results when printing mail envelopes, load them in the manual feeder.

You can print envelopes either with your return address or without it (for preprinted stationery).

Set Up a Return Address

If you want the program to print a return address:

  1. Check the View > Envelope Return Address option in the main menu.
  2. If the return address is not yet set up, select a contact (typically your own record).
  3. Open the contact in the Contact Editor.
  4. Check the option Use this address as Return address for envelopes (available for both personal and business addresses).

Note

Only one contact's address can be designated as the return address at any given time.

Execute Envelope Printing

  1. Select one or more contacts from the table.
  2. Click the toolbar button, and select Print Mail Envelopes for N Selected Contacts:

  3. Review the selection screen:

    • Verify the addresses selected for printing.
    • Set the number of copies per address.

  4. Review the Print Preview for any address:

    From the preview, you can make final adjustments before printing:

    • Font size
    • Margins
    • Recipient Address Offset
  5. Once satisfied with the layout, click Print in the preview window or return to the address list and click Print there. The program will generate .pdf files with sender and recipient details, and send them to the printer.

Address labels only print the recipient's address; the return address is omitted due to label size constraints.

Important

A label printer is required, not a conventional laser or inkjet printer.

To print address labels:

  1. Select one or more contacts.
  2. Click toolbar button.
  3. Select the Print Address Labels for N Selected Contacts:

  4. Review the selection screen (similar to envelope printing):

    • Verify the selected addresses.
    • Set the number of copies.
    • Preview individual labels before printing, adjusting font size and margins if needed:

  5. Click Print. The program will generate .pdf files and send them to the label printer.

International Mail and Address Formats

A mailing address is considered International if it includes a country different from the return address country.

Rules for printing country names:

  • International mail: The country name always printed.
  • Domestic mail: The country name is omitted.
  • If Print Return Address is deselected in Preferences > Print Settings, you must still enter the Country for Return Address in the setup screen to ensure the correct International address template is used.

Address Templates

Address formats vary by country. For example:

  • Some countries use uppercase for certain fields or double spaces between fields.
  • Spain requires the province in brackets.

To ensure compliance, the program offers pre-defined address templates.
The page Address Templates in the Preferences allows you to:

  • Review and assign templates to specific countries
  • Ensure templates follow country-specific formatting rules
