Popup reminders

Setup Popup Reminders

EZ Contact Book can display advance notifications for birthdays and other events. These notifications will periodically appear in a popup window in the corner of your screen when the program is running:

Add an Event Reminder

There are three ways to add an event reminder:

  1. Context Menu (Contact-Linked): Right-click on a selected contact, then choose Add Reminder for [Name] to open Reminder Editor. This new reminder will be automatically linked to the contact.

  2. Contact Editor (Contact-Linked): Open the Reminders page in the Contact Editor and click Add Reminder. Select a predefined event (e.g., Anniversary, Call, Email, Visit) or choose Other to enter a custom event name:

  3. Calendar (Non-Contact):: Add reminder directly in the Calendar (see the Non-Contact Reminders section). This type of reminder will not be associated with any specific contact.

Any of these methods will open Reminder Editor:

Add Birthday Reminder

To add a new birthday reminder:

  1. Open the Contact Editor on the Reminders page.
  2. Select Birthday from Add Reminder button drop-down list. Reminder Editor will open:

  3. Select the birth date from the date picker.

  4. If the birth year is known, select it from the drop-down list, or set to < unknown >.
  5. Choose how many days in advance you want to be reminded (options: 1, 3, 7, 14, 30 days in advance, or 'on that day').
  6. Click OK to save the reminder.

This will add a new section in the Reminders tab:

  • A new reminder will only appear if the Active box is checked.
  • Birthday reminders will be displayed starting from the chosen advance date and for up to five days after the birthday, unless Active is turned off.

Add Non-Birthday and Recurring Reminder

Non-birthday reminders function similarly to birthday reminders but include the option for recurring reminders.

To make the reminder recurring:

  • Check the Recurring box in the Reminder Editor dialog.

  • A new tab, Recurrence, will appear. Select how often the reminder should appear (Daily, Weekdays, Weekly, Monthly, Annually), along with start and (optional) end dates:

  • Click OK to save the reminder

Tip

If you use the Sync feature, a Private checkbox will appear in the Reminders section. By default, all reminders sync with other connected devices. Check the Private box to keep a reminder only on your device.

Add Non-Contact Reminder

To add reminders for calendar event not linked to any contact:

  1. Open the Calendar page, select the date you wish to add a reminder for.
  2. Click button, or double-click on an empty cell, or right-click and select Add Reminder.

View and Manage Reminders

Pop-up reminders appear for a few seconds at regular intervals (default: 10 minutes).
You can adjust these settings in Preferences > Reminders.

To manually check today's reminders manually:

  • Click View > Today's Reminders, or
  • Right-click the program icon in the notification area (system tray) and select Show Today’s Reminders.

To prevent a pop-up reminder from closing, move your mouse cursor over the window while it is displayed.

Temporarily Mute Reminders

If you do not want to be interrupted by pop-up reminders for a period, you can temporarily mute them:

  1. Click the pop-up window to open the Reset Reminders dialog.

  2. Choose Mute reminders for today or Mute reminders until: (select a specific time from the time picker).

Deactivate Reminders

You can stop individual reminders from showing by checking one of the following options in the Reset Reminders dialog:

  • Don't show until next time (for recurring reminders).
  • Don't show anymore (deactivate) (for non-recurring reminders).

For Birthday Reminders, deactivated reminders will automatically reactivate the following year. For Recurring Reminders, they will automatically reactivate for the next scheduled display period.

Important

EZ Contact Book must be active (running) for pop-up reminders to appear. If the program is closed, reminders will not be displayed.

To ensure the program stays active:

  • Open Preferences > General.
  • Ensure the box Start EZ Contact Book when I start Windows is checked.
  • Option 2 or 3 in When I click the "Close" button is selected(to minimize the program instead of fully closing it).
